TEAM WORKFLOWS

Audio transcription for teams: licenses and everyday workflows

Set up VoiceGo team licenses, keep individual workspaces organized, and share reviewed meeting transcripts with your colleagues.

A team recording often needs to serve several people: the interviewer checking a quote, the project lead reviewing a decision, and the colleague who missed the call. VoiceGo helps each person turn audio into text while keeping licensing and transcript sharing as separate decisions.

Set up licenses without sharing a login

Choose a team plan on the pricing page. Team access uses an annual subscription with additional licenses. After purchase, the subscription owner manages assignments in Account Settings. Members need an existing VoiceGo account with a verified email address before a license can be assigned.

Use individual accounts rather than circulating the owner's credentials. The owner can remove a license assignment when responsibilities change. Review the current seat count and price at checkout before purchasing; the pricing page is the source for available billing options.

Build a repeatable meeting transcription workflow

  1. Record the meeting with the participants' permission and a microphone close to the speakers.
  2. Upload the recording, select the spoken language, and enable speaker recognition when useful.
  3. Review names, owners, dates, and decisions against the audio.
  4. Rename the transcript with a project and date, then put it in a relevant folder.
  5. Export the reviewed notes or create a share link for the intended recipients.

Illustrative note: “Maya will send the revised agenda on Tuesday; Jon will confirm the venue.” Check both the owner and deadline in the recording before adding them to a task tracker. A plausible transcript is not proof of what someone agreed to do.

A license is not a shared document library

Assigning a seat gives a member plan access. It does not automatically merge personal workspaces or give everyone access to one another's files. Use exports and folders to organize your own work, and explicit share links to distribute a transcript.

Anyone with a share link may be able to view the shared content. For confidential meetings, agree on a sharing process before uploading and read our privacy guide. For licensing questions, contact [email protected]; include your account email and the number of people you want to support.
